This policy covers data collected through our website and enquiry form. Where we process resident or client data on behalf of a housing provider, we do so as a data processor under a separate Data Processing Agreement, and the housing provider is the data controller.

When you use our enquiry form, we collect the name, organisation, email address and any details you choose to provide about your operation. We do not collect resident or safeguarding data through this website.
To respond to your enquiry, arrange a demo or call, and provide information about our services. Our lawful basis is your consent and our legitimate interest in responding to business enquiries.
Enquiry data is stored securely and accessed only by ReloFlow. We retain it only as long as needed to respond to your enquiry and for reasonable follow-up, after which it is deleted.
Where we operate a ReloFlow system for a housing provider, any resident, welfare, safeguarding or compliance data is processed strictly on that provider's instruction under a Data Processing Agreement. The provider owns their workspace and their data. Resident data is never used to train AI models.
We use trusted third-party platforms to deliver our service, including Notion (data storage), Netlify (hosting) and OpenAI (AI note formatting, via API with zero data retention). These providers operate under their own SOC 2 Type II certifications and UK GDPR data-transfer protections.
